Managing your subscription
The Billing page in the customer portal shows what you pay for, when it renews and which card pays for it, and it is where you change all of that. Open app.structurawp.com and choose Billing in the sidebar.
Choose the workspace first
Billing shows the plan, site limit, usage and invoices of the workspace selected in the portal header. Your personal plan does not change what you can do in a workspace you joined. Owners can change billing; admins can view it. Editors and viewers cannot access billing. Connecting sites and viewing the activation license key require an owner or admin role. Members assigned specific sites can only access those sites.
Billing changes also require that you are the payer: the person whose card and Stripe billing account pay for the workspace. Everyone else with access sees the plan, usage and invoices, plus the notice Billing is managed by your payer, and no change buttons. Transferring workspace ownership does not transfer the payer’s saved cards. Contact support to move billing to the new owner.
What you’ll see on a paid plan
Your plan
The top card names your plan the way the rest of Structura does: Cloud · 30 posts, Cloud · 100 posts or BYOK, with its status (Active, Payment overdue, Canceling). Below it:
- Renewal — “Renews {date} for {amount}”. The amount comes from Stripe and includes discounts and tax. On a subscription set to end, the line says when it ends instead.
- Monthly allowance — the posts each site gets per month on Cloud, or Your own AI keys on BYOK.
- Purchased capacity — how many sites your subscription pays for.
- Billing schedule — Monthly or Yearly.
The payer also sees Change subscription, plus the Change volume and Change site count links under the allowance and capacity. All three open the same editor; see Upgrading, downgrading, cancelling.
A subscription with terms agreed with us shows Custom agreement and the allowances it includes. Contact support to change those terms; the payment method, billing details and cancellation still work as described here.
This cycle
Sites connected compares the sites you have connected with the sites you pay for. Posts this cycle shows the posts delivered to all your sites this month; each site’s own usage is on its Overview page. Allowances reset on the first day of every calendar month in UTC, including on yearly billing.
Payment method
The card that pays for this subscription, masked to its last four digits, with its expiry date. Update payment method opens a short page and then Stripe’s secure card form; nothing is charged in that step. When Stripe sends you back, the page checks the card and confirms with Your payment method is updated. The new card pays this subscription’s future invoices only, so a card saved for another workspace stays where it is.
Billing details
The company or person name, invoice email, address and tax ID that appear on your invoices. Tax IDs show only their last four characters. These details belong to your Stripe billing account, so they are shared by every workspace that account pays for. The invoice email is where Stripe sends invoices; it is not the email you sign in with.
Edit billing details opens Stripe’s page for exactly these fields. When you use Stripe’s link back, the Billing page reads your details again, so what you see is what Stripe now holds. If you also pay for other workspaces, you need billing permission in every one of them to edit the shared details; otherwise the card says so and offers Contact support.
Invoice history
Your most recent invoices, newest first: invoice number and date, amount and status (Paid, Open, Void, Uncollectible or Draft). View opens the invoice on Stripe, where you can download the PDF. Load more invoices goes further back. See Downloading invoices.
Cancel subscription
The Cancel subscription link sits at the bottom of the page. See Upgrading, downgrading, cancelling.
Free plan
On the Free plan there is no card on file and no renewal date. The Billing page shows your Free plan, this cycle’s usage and the paid plans you can move to.
Lifetime plans
On a lifetime plan there’s no renewal date and no card on file — there’s nothing to cancel. If you bought your plan on AppSumo, the Billing page also shows a Redeem a code panel so you can add another site with a second or third code. See Redeeming an AppSumo code.
What counts as a “site” for billing
Per-site billing applies on every paid tier — you pay for each site your subscription includes:
- Free plan: one active site activation.
- BYOK: flat per-site rate.
- Cloud: graduated per-site rate on both options — sites 1–4 at one rate, 5–9 at a lower rate, 10–24 lower still, 25+ routes to sales. Each rate applies to the sites in its bracket.
You pay for the sites on your subscription, not only the ones connected right now: disconnecting a site frees its slot but does not lower your bill. To pay for fewer sites, change the site count. See License keys & site activations for connecting and disconnecting sites.
Campaigns per plan
Each plan limits how many campaigns one site can hold at once. The cap covers active and paused campaigns — paused campaigns still hold a slot because you can resume them anytime.
- Free: 1 campaign per site, publishing at most one post per week (Smart scheduling and daily publishing are paid features).
- BYOK: 10 campaigns per site, any cadence.
- Cloud: unlimited.
The limits exist because every scheduled campaign costs us infrastructure time on each run. Cloud has no campaign cap because each site has a monthly allowance of posts instead (30 or 100, depending on your Cloud option), shared by all its campaigns. See BYOK vs Cloud — which to pick. The Free weekly publishing cap applies to campaigns created after the limit took effect; campaigns created earlier keep their existing schedule.
If you’ve reached the cap and need more capacity, you have three options:
- Pause or delete a campaign you’re no longer running — frees up a slot immediately.
- Upgrade your plan — BYOK takes you to 10 campaigns, Cloud removes the cap entirely. See Upgrading, downgrading, cancelling.
- Contact us at structurawp.com/support if you need more campaigns on your current tier — we’re working on a per-pack add-on; until it ships we can usually accommodate reasonable requests case by case.
If you downgrade from a higher plan to one with a lower cap, existing campaigns over the cap stay running — we don’t auto-pause them. You just can’t create new ones until you’re back under the cap.
If a payment fails
Stripe retries the card automatically a few times over several days and emails you each time. While a payment is outstanding, the Billing page shows Your payment needs attention with two ways out:
- Update payment method — save a card that works. Saving a card does not pay the open invoice by itself; the page tells you when an invoice still needs payment.
- Pay outstanding invoice — opens the invoice on Stripe so you can pay it now.
While the payment is outstanding you can’t change the volume or site count, but you can still cancel. The wp-admin Account & License page shows the same problem with Fix payment in customer portal.
If you’re hitting repeated failures, the card issuer is usually the blocker; banks often flag cross-border subscription charges. Call your bank, or switch to a different card.
Currency and tax
Subscriptions are billed in your account’s currency, set at sign-up based on your region. We bill at USD/EUR parity — the same number in either currency, no FX conversion. VAT / sales tax is added where required (EU customers, some US states, etc.) based on your billing address.
To change billing currency, contact support — we don’t self-serve that yet because it requires reissuing the subscription.
